Should an employer reimburse prescription screen glasses?

The Occupational Health and Safety Act imposes a duty on every employer to ensure the safety of their employees in the workplace. This also means that working at a screen should not pose a risk to the safety and health of the employee. If it appears that prescription screen glasses can alleviate complaints, the employer has the responsibility to provide a solution by making prescription screen glasses available.

Health and Safety obligation

The Occupational Health and Safety Act imposes a duty on every employer to ensure a safe working environment for their employees. This also applies to work on a screen, which must not pose a threat to the employee's health and safety. To protect employees, specific rules have been established: before beginning any screen work or if they experience eye complaints, employers must give their employees the opportunity to have an eye examination. If it is found that prescription screen glasses can reduce the complaints, the employer has the obligation to make them available.

Are screen glasses a health and safety device?

Yes, monitor glasses are a health and safety provision according to article Handboek Loonheffingen 2024 edition April 2024 article 22.1.9. A targeted exemption applies to occupational health and safety provisions, which is not at the expense of your free allowance under the work-related costs scheme.

The work-related costs scheme allows you, as an employer, to give untaxed allowances to your employees.

The occupational health and safety provision must meet the following conditions: As of January 1, 2022, the targeted exemption for occupational health and safety provisions has been changed, clarifying that only provisions that are directly related to the employer's obligations are exempt.

It is always advisable to consult with the Tax and Customs Administration or contact your tax advisor about the computer screen glasses allowance to find out in your specific situation whether the computer screen glasses may be reimbursed untaxed and whether the computer screen glasses allowance is deductible for your employee.

Occupational health and safety provisions are specifically exempt only when they meet the following conditions

  • The provisions derive directly from the Health and Safety Act. Briefly, these are facilities that ensure the safety and health of the employee.
  • The employee uses or consumes the provisions at the (home) workplace (in whole or in part), or at a place where you implement the Working Conditions Act.
  • You don't charge any costs to the employee. In other words, the employee may not pay a personal contribution for the provisions. Exchanging a taxed wage component for an untaxed provision is also a personal contribution in this context, for example in cafeteria arrangements.
